Privacy Policy
Motherboard is built on a simple principle: your family's data belongs to your family. We access your email to build an inventory and surface nudges that help you. We do not sell your data, share it with advertisers, or retain more than we need to provide our service to you.
Effective Date: March 2026
1. Who We Are: Motherboard ("we," "us," or "our") is an AI-powered family operating system operated by Motherboard, Inc. We can be reached at hello@motherboard-app.com.
2. What Information We Collect:
Gmail Access: When you connect your Gmail account, we access your email inbox to identify order confirmation emails from retailers. Specifically:
We scan for emails from recognized retail domains (e.g., amazon.com, target.com, carters.com) to identify purchase records.
We extract structured data only: item name, size, quantity, retailer, order date, and price where available.
We do not read, store, or process personal correspondence, financial statements, medical communications, or any email outside of recognized retail order confirmations.
Raw email content is processed in memory and discarded immediately after extraction. We do not store the body or content of any email on our servers.
Google Calendar Access: When you connect your Google Calendar, we read upcoming events to identify schedule triggers that may be relevant to your family's needs (e.g., a sports season starting, a birthday, a school event). We:
Read event titles, dates, and descriptions only as needed to identify potential nudge triggers.
Do not modify, create, or delete calendar events.
Do not store full calendar data — only the specific event details that trigger an active nudge workflow.
Family Inventory Data: The structured data extracted from your emails is stored securely in your Motherboard inventory. This inventory data is stored on our secure servers and is associated only with your account. This includes:
Item name, category, size, and quantity.
Retailer and purchase date.
Person attribution (which family member the item was purchased for).
Account Information” When you create an account, we collect your name, email address, and phone number (for SMS nudge delivery). We do not collect payment information directly — payments are processed by a third-party payment processor.
3. How We Use Your Information: We use the information we collect solely to provide the Motherboard service:
To build and maintain your family inventory from email purchase records.
To identify upcoming calendar events that may trigger a relevant nudge.
To send proactive SMS nudges to your registered phone number.
To display your family inventory within the Motherboard interface.
To improve the accuracy of our email parser and nudge engine.
4. What We Do Not Do:
We do not sell your data to any third party, ever.
We do not read personal email, financial statements, medical records, or communications outside of retail order confirmations.
We do not store raw email content on our servers.
We do not use your data to train or fine-tune general-purpose AI models.
We do not share your data with advertisers or data brokers.
We do not retain your data after account deletion (see Section 7).
5. How We Share Information: We share your information only in the following limited circumstances:
Service providers: We work with third-party vendors to operate Motherboard, including cloud infrastructure (Google Cloud Platform), SMS delivery (Twilio), and AI processing (Anthropic API). These vendors process data on our behalf under strict data processing agreements and are not permitted to use your data for their own purposes.
Legal requirements: We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of Motherboard, our users, or the public.
Business transfers: If Motherboard is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before your information is transferred and becomes subject to a different privacy policy.
6. Google API Disclosure: Motherboard's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
We access Gmail data solely to identify and extract purchase records from retail order confirmation emails.
We access Google Calendar data solely to identify schedule triggers relevant to your family's needs.
We do not use Google user data to develop, improve, or train generalized AI or machine learning models.
We do not allow humans to read your Gmail or Calendar data, except as necessary to provide or improve user-facing features where you have given explicit permission, or as required by law.
Our use of Google data is limited to providing and improving the Motherboard service to you directly.
7. Data Retention and Deletion: We retain your inventory data and account information for as long as your account is active. You may request deletion of your data at any time by:
Emailing hello@motherboard-app.com with the subject line "Delete My Data".
Disconnecting your Gmail and Google Calendar access via your Motherboard account settings.
Upon receiving a deletion request, we will delete your account and all associated inventory data within 30 days. We will confirm deletion by email. Note that we may retain anonymized, non-identifiable aggregate data (e.g., category-level purchase trends with no personal identifiers) after deletion.
8. Data Security: We take the security of your data seriously. Our security practices include:
All data transmitted between your device and our servers is encrypted using TLS.
Your inventory data is stored in encrypted databases hosted on Google Cloud Platform.
Access to production data is restricted to authorized personnel only.
We do not store raw email content — only structured extracted fields — which significantly limits the impact of any potential data breach.
No method of transmission or storage is 100% secure. If we become aware of a security breach that affects your data, we will notify you promptly in accordance with applicable law.
9. Children's Privacy: Motherboard is designed for use by adults (18+) to manage their family's needs. We do not knowingly collect personal information from children under 13. The inventory data we collect may reference purchases made for children, but this data is associated with the parent or guardian's account, not with the child directly.
10. Your Rights: Depending on your location, you may have the following rights regarding your personal information:
Access: Request a copy of the personal information we hold about you.
Correction: Request that we correct inaccurate or incomplete information.
Deletion: Request that we delete your personal information (see Section 7).
Portability: Request a machine-readable export of your inventory data.
Objection: Object to certain types of processing, including profiling.
To exercise any of these rights, email hello@motherboard-app.com. We will respond within 30 days.
11. Changes to This Policy: We may update this Privacy Policy from time to time. When we do, we will update the "last updated" date at the top of this page and notify you by email if the changes are material. Your continued use of Motherboard after any change constitutes your acceptance of the updated policy.
12. Contact Us: If you have questions about this Privacy Policy or how we handle your data, please contact us:
